Subject: General Meeting
Call to Order: 9:00 AM

OLD BUSINESS:

Call to Order: President Mike Hartshorne called the March General Membership meeting to order at 9:00 AM March 13, 2010 at the restoration site. Mike reported that the BoD had just finished meeting for breakfast prior to this meeting.

Treasurer’s Report: Ernie Robart had previously e-mailed the March Treasurer’s Report to the Board. Ernie reported the checking account had a beginning balance on February 13th, 2010 of $23,043.57and an ending balance on March 13th of $20,040.90. Deposits for the period totaled $2,386.18, the majority of which were annual membership contributions, flue sponsorships, and payments to the Society by a movie company for use of the restoration site and donations, and merchandise sales. Expenses were $5,388.85, which included parts for repair of the large forklift, replacement tools, parts to repair tools, purchase and installation of a digital readout system for the Bridgeport milling machine and a second new office computer. The ending balance in the savings account (including $1.23 interest) was $40116.86. There was $50.00 in petty cash yielding total cash assets of $60207.76 as of February 13, 2010. Steve Bradford moved and Gail Kirby seconded a motion to accept the report, which was approved by voice vote.

Safety Officer’s Report: Jon Spargo reported that on February 27th he held the first of the 2010 Annual Safety Refresher classes. There were 27 members in attendance. This qualifies those who attended to work through to the end of 2011. At present there are a number of members who reside out of state and have difficulty making our training sessions on fixed dates. Jon said he is in the process of working up a presentation that can be sent to those people. His concept is that they will be able to review it and send it back in order to complete the annual safety refresher requirement from remote locations. After the conclusion of the Annual Refresher Training Safety Officer, Dave Anglen presented a short training session for Worksite Safety Supervisors. The purpose of this session was to have specially trained Worksite Safety Supervisors available to monitor safety on the site when a regular safety officer cannot be present. Fourteen members took this training and their names are listed on the Authorized Worker list posted in The WHQ building. Also thanks to Mike Hartshorne there are three bright colored vests on order that say “Safety.” In an effort to increase safety awareness, it is our plan to have either the Safety Officer or one of the Worksite Safety Supervisors wear one of these at each work session. That person will be the designated as Safety person for the work session. The wearer of the vest has safety for his primary task for the work session and should not participate in other tasks. Because there are at least five members who had previously expressed an interest but were not available to take the Worksite Safety Supervisor training, Jon said he will attempt to schedule a training session for them in the near future. He said he would also schedule another Annual Safety Review Session sometime late in the spring.. Jon Taylor moved and Ed Strebe seconded a motion to accept the report, which was approved by voice vote.

CMO Report: Rick Kirby reported that the digital readout unit (DRO) has been installed on the Bridgeport milling machine and is working well. He said Ralph Johnson our machinist likes it. Work continued during the month on the ash pan, the nuts holding up the ash pan were being loosened for gasket replacement and flange repair. The ash pan flame diffusers have been removed from both sides and cleaned.

Still more super heater bolt and yoke cleaning has been accomplished and a superheater piping parts request is also being compiled.

Rick reported that work on the cross compound air compressor continues and a new air driven driver was procured to turn the cylinder hone allowing John Taylor, Mike Hartshorne and Chuck Mangold to hone the compressor cylinders.

The compressor rods and pistons were crated and shipped. Die penetrant was applied to the cracked air compressor casting. Rick said he is getting some advice on repairing the crack the Muggy Weld people, but he has become more concerned as to the viability of a repair to this crack.

Work continues in all areas including the repair of the large forklift. Lawrence has installed the distributor and flywheel ring gear and successfully started the engine. Minor transmission and fork rack repairs remain.

Mike Hartshorne, Nate Phillips, and Gail Kirby have made progress inside the firebox grinding off the staybolt heads and removing the remaining metal after torching work. Progress on removing the interior firebox staybolt heads is continuing and the front tube sheet was deburred.

Rick said that he and Bob DeGroft have been putting together the paperwork to submit to the FRA inspector with Bob doing the lion's share of the work and logistics. The report identifies the Society’s plan for the scope of boiler repair and methods to be utilized.

Pete Ormson reinstalled the repaired mill deck motor, which was incorrectly reassembled by the repair company, which also replaced the connecting wires using only one color of wire and no identifying marks. Services of our resident electrician, Johnny Plath will be required to sort things out.

All in all Rick said there is a lot of work to do and that we will begin a three-day workweek: Monday, Wednesday and Saturday. When the weather gets warmer we will shift to summer hours beginning the workday at 0730.

Jon Spargo moved and John Taylor seconded a motion to accept the report, which was approved by voice vote.

Fundraising Committee Report: Ed Strebe reported that 17,000 rack cards have been printed and distribution is underway. So far 3200 of them have been distributed to State Dept. of Tourism Entrance Posts across the state. Letters are going out to other area railroads to see if they will accept our rack cards.

In outreach activities, on March 10th John Taylor & Ed Strebe made a presentation to the Albuquerque Convention and Visitors Bureau (ACVB) volunteers on. It went well and another presentation to be made to the ACVB staff on 4/20 by Bob DeGroft and Ed Strebe. Andy Rutkiewic has offered to make a presentation to the Museum Coop Council, given them potential dates and is awaiting a response.

Meanwhile, Jon Spargo, Al Leffler and Clem Harris traveled to Hatch, NM and met with the mayor and head of Chamber of Commerce. Jon Spargo made a presentation emphasizing the future rail excursions to be operated by #2926 and their impact on tourism the local economy. The same basic presentation was made later in the day to the CEO of Spaceport America, Mr. Steve Landeene. Jon Spargo will also make a presentation to the Socorro Historical Society on April 24th and has made a presentation to the Masonic group in Albuquerque, formerly from San Marcial (wiped out in the flood of 1929). He is also working on getting a date for a presentation in Las Cruces and a joint Hatch and Deming presentation is in the works by both Jon and Doyle. Meanwhile, Jon will pursue the getting of an article into the BNSF magazine on the 2926 restoration. Steve Bradford moved and John Taylor seconded a motion to accept the report, which was approved by voice vote.

April Art Show: Steve Bradford reported that preparations continue for the railroad art show scheduled to kick-off with an opening night on Friday, April 2nd at the 105 Art Gallery at 105 4th St SW (a block south of Central in the downtown area). It is entitled “Casey Watch Your Speed” and is being held to benefit the restoration of #2926. Half the proceeds of all art sold during the show will go to help the restoration of #2926 to operation. Invitation cards are to be stuffed and mailed after the meeting. Members are encouraged to attend on Friday night, April 2nd and to RSVP the request so that an accurate attendance headcount can be estimated. The gallery will also be open in the evening in the middle of April to coincide with the Friday Albuquerque Arts Crawl. The show will run for the month of April.
